In this module we’ll see how the section editor sends the submission to layout editing by assigning a layout editor.
Layout editing is another role that can be configured in different ways. For example, your journal may have the section editor do layout editing, or have the copyeditor do layout editing along with copyediting. But for the sake of keeping the different roles clear, we’ll look at how the process works with a separate layout editor.
Layout editing is yet another process that depends on collaborative decisions made by the editorial board. For example, the board may choose a standard layout based on the example of a well-known electronic journal publisher. This standard will incorporate considerations of readability and accessibility. However, for the purposes of getting an overview of editing a journal in OJS, we don’t need to get into the details of this decision. We can just assume the layout standard for The African Journal of Scholarly Communication already exists.
This page provides an overview of the two options within OJS for handling layout editing (as with Copyediting, reviewed previously). The first option, The “Section Editor as Layout Editor” is used by small journals where the Section Editor is also responsible for all of the layout editing. The second option, The “Separate Copyeditor” option, assumes that the Section Editor will hand the layout editing responsibilities over to a different person. This is the process we covered in the video and will follow for the activities below.
Note: You may need to change the settings of your journal to do the next few activities. Login as the Journal Manager, and go to Journal Setup, Step 4.5 (see here for instructions). See the OJS for Journal Managers course for more information on the Journal Setup options.
Once again, you will need to create a new user for this activity — this time enrolled as a Layout Editor. Once you have that account in place, login as the Section Editor and assign this Layout Editor to the submission.

Before assigning a layout editor, what communication should the section editor use OJS for?Correct
No, that’s not right.
Does your journal have different people working as Layout Editors? Or do you or your Editor do the layout editing as well? I’d be very interested to hear about your experience with this in the comments section below.
